From the embroidery file shop to the embroidery machine. Find helpful tips on transferring embroidery files.

The moment has arrived: You have your embroidery machine and all the necessary materials ready to go, and perhaps you've even already chosen and purchased your perfect embroidery design from the shop. So, what's next? Before the creative fun can begin, our multifaceted passion requires completing a few computer tasks, but even PC novices shouldn't be too intimidated. Once you get the hang of it, these tasks are always the same and will soon be completed in no time. This blog post will give you a detailed overview.

How do I get the files?

After purchase, the embroidery file will be made available to you in different ways depending on the shop and ordering method:

After completing your purchase, you will receive an email with a download button. Clicking this button will automatically save a ZIP folder containing your files to your downloads folder. Save this email to your email account so you can download your embroidery files again as needed.

Etsy order with customer account

After placing your order, your files will be available in your customer account. To do this, click:

The files will now be automatically saved to your downloads folder. Because your download purchases remain available in your Etsy account indefinitely, creating an Etsy customer account is recommended compared to ordering as a guest.

The download link will be sent to you via email after payment. Click the download button and the files will be automatically saved in your download folder.

After downloading the embroidery files, you'll find them in your Downloads folder on your computer. Depending on your operating system, open Explorer (Windows) or Finder (Apple iOS). Open the Downloads folder in the top left corner of Explorer/Finder. Your downloaded folder has been zipped for delivery. You can recognize this by the small zipper icon on the folder. This means the files have been compressed for faster delivery and now need to be extracted/unzipped so your embroidery machine can read them. You can easily do this on your computer.

On Windows, hover your mouse cursor over the folder, e.g., "Big Flowerwreath.zip", right -click, and a small window with various options will open. Select " Extract all ". A new window will open where you can choose the save location for your files. Confirm with the " Extract " button. A new folder will open containing your files, ready for your embroidery machine.

On iOS (Apple), you can unzip simply by double-clicking the left mouse button.

What's in the Downloads folder?

The download folder contains one or more embroidery files in the following formats: dst, jef, pes, exp, and their corresponding setup files, as well as vp3 and hus. It also includes the document "Worth Reading" with many additional tips for machine embroidery, and a PDF document for each embroidery design. Depending on the type of embroidery file, there may also be an illustrated guide for in-the-hoop (ITH) designs or separate sewing instructions. The PDF document contains all the important information about the embroidery file, including the color sequence. It's best to print it out and keep it next to your embroidery machine for reference during the embroidery process. I will explain this in more detail in a later post.

Now select the appropriate embroidery format for your machine. You can find out which format is suitable for your machine in your embroidery machine's instruction manual. Embroidery formats can be roughly categorized as follows:

Tajima: dst

Janome: jef

Brother: pes

Bernina: exp + Setup

Pfaff: vp3

Husqvarna: hus

Some machines can read multiple formats. You can find this information in your user manual.

Transfer the embroidery file to the embroidery machine

Now copy your desired format by right- clicking the embroidery file. A small window will open. Select " Copy " or the "Copy" icon. The embroidery file is now in your clipboard.

A notice:
Only save the embroidery file in your preferred format to the storage medium, not other formats, PDF documents, or even the entire folder. Otherwise, your machine might not display your embroidery design.





Close the storage medium Connect your embroidery machine to your computer. Depending on the machine model and age, embroidery machines use different storage media, such as memory cards, USB sticks, cable transfer, or Wi-Fi. Select it in Explorer/Finder in the leftmost bar (usually quite far down) and double-click it. Right- click again in the large field. The small window will open again. Select " Paste, " and the embroidery design is now on your storage medium, which you can then connect to your embroidery machine.

You can now read the embroidery design using the embroidery machine. Make sure that a correctly sized embroidery hoop is inserted, as the embroidery machines have a built-in safety feature. Embroidery designs that are too large for the hoop will not be displayed.

This final step varies considerably depending on the machine model. You may need to create suitable subfolders beforehand. Therefore, the user manual is helpful at this point. Specialized dealers can also provide valuable assistance.

I particularly recommend transferring the file directly through Explorer/Finder. You might already have embroidery software. Due to the large number of different software programs with various update versions, many additional steps can be necessary, which I would initially disable when starting out with machine embroidery, and therefore prefer the direct and simple method using Explorer/Finder.

If everything went correctly, the machine will now display the design on your screen and you can finally get started. Yay!
